VanVed vs Zoho Invoice
for Quotations
Why businesses choose VanVed over Zoho Invoice
VanVed's quotations are part of a chain rather than a standalone document: a CRM deal becomes a quotation, the customer accepting it on a public link moves the deal to Won, and converting it produces a GST invoice with the quote's own tax and discount figures carried across so the invoice cannot silently disagree with what the customer agreed to. Revisions are first-class — R2, R3, with the superseded version kept — and there is no 500-document ceiling, no two-user limit and no vendor branding on your quote.
Capability by capability
Every row below is what our 2026 research found — including the rows we lose.
| Capability | VanVed | Zoho Invoice |
|---|---|---|
| GST on a quote | CGST/SGST/IGST decided by place of supply against the seller's state, GSTIN validated, HSN/SAC per line | Predefined intra- and inter-state GST rates, GST-compliant documents, GSTR-1 filing to GSTN |
| Usage limits | No cap on quotations or users | Free forever, but capped at 2 users, 3 projects and 500 invoices a year, with Zoho branding on the document |
| Revisions and version history | Yes — QT-00001-R2, R3, with the old revision marked superseded and the chain kept | Status changes and edits; no documented revision-comparison feature |
| Customer accepts or rejects online | Yes — an unguessable share link, with the accepting person's name, email, IP and timestamp recorded | Yes, through the client portal |
| Emailing the quote to the customer | Not by email — marking it sent only changes the status. It can be pushed to the customer on WhatsApp through your own Cloud API credentials, which sends the share link, not the PDF | Emails the quote from the app, with reminders |
| PDF of the quote | Yes — a server-rendered PDF named for the quote and its revision, downloaded from the quotation itself | Customizable PDF templates in 10+ languages |
| Getting paid | No payment link on the quote; it converts to a GST invoice and payment is handled there | Payment gateways on the document — UPI, cards and net banking on the India edition |
| E-invoicing and e-way bill | No IRN generation and no e-way bill | Zoho is an authorised GSP; e-way bill details on delivery challans, IRN generation in Zoho Books |
| Where the quote comes from | From a CRM deal, and accepting it moves that deal to Won and converts to a GST invoice in one chain | Standalone; Zoho CRM linkage needs the wider Zoho suite |
Where Zoho Invoice is ahead of us today
Zoho Invoice does the last mile and we do not. It emails the quote to the customer, with reminders; our 'Send' only changes a status, and the one delivery channel we have is a WhatsApp message carrying the share link. We do now render a real PDF, but it is one template in one language against Zoho's dozen. It takes payment on the document through UPI and cards. And on Indian compliance it goes further than we do — it files GSTR-1 straight to the GSTN and carries e-way bill details, where we stop at computing the tax correctly. All of that is free, up to its caps.
We publish this because a comparison that only flatters us is worth nothing to you. If one of these gaps is the thing you actually need, Zoho Invoice may well be the better buy.
