VanVed vs Fleetio
for Fleet
Why businesses choose VanVed over Fleetio
VanVed's fleet is trip-first: a trip carries the driver, the distance and the freight amount, with overlapping-assignment validation, so a small transport operator can see what each run earned in the same system that invoices the customer. Fleetio is a maintenance system that charges per vehicle per month; VanVed's fleet comes with the subscription, now with maintenance due/overdue tracking, expiry notifications that actually reach someone, and fuel-efficiency reporting of its own.
Capability by capability
Every row below is what our 2026 research found — including the rows we lose.
| Capability | VanVed | Fleetio |
|---|---|---|
| Vehicle register and documents | Vehicles with insurance, fitness-certificate, national/state permit and PUC expiry; drivers with licence expiry | Full vehicle records with custom fields, documents, photos and renewal reminders |
| Expiry alerts | Automatic notifications now fire as a vehicle document (insurance, permit, PUC, fitness certificate) nears expiry, not just a console print and a screen someone has to check | Email and in-app reminders on every renewal and service reminder |
| Preventive maintenance schedules | Yes now — a maintenance schedule per vehicle with due/overdue status tracking and a maintenance log dialog; no engine-hours trigger | Service programmes by time, mileage or engine hours, with automatic due/overdue tracking |
| Work orders and parts inventory | Not built | Work orders, labour and parts, vendor invoices and a parts inventory (Professional plan up) |
| Driver vehicle inspections (DVIR) | Not built, and fleet has no mobile app | Configurable inspection forms completed by drivers on the Fleetio Go app |
| Fuel logs and cost tracking | Fuel logs with litres, cost and odometer, plus fuel-consumption/efficiency reporting per vehicle now — no fuel-card import | Fuel card imports, automatic fuel economy, and cost-per-mile by vehicle |
| Telematics / GPS | A webhook ingest endpoint now accepts position pings from any GPS provider you point at it, with a last-known-position card linking out to OpenStreetMap — but no bundled hardware or provider, so it shows nothing until one is wired up | No native GPS either, but 40+ integrations (Samsara, Geotab, Motive) sync odometer and location |
| Trips, freight and driver assignment | Trips with origin, destination, driver, distance and freight amount, with overlap validation | Vehicle assignments; trip-level freight billing is not its focus |
| Price | Included in the platform subscription | $4–$10 per vehicle per month, with work orders only from the $7 tier |
Where Fleetio is ahead of us today
Fleetio is still a deeper maintenance product. It has work orders with parts and labour, driver inspections on a phone, fuel-card import that removes manual entry, and 40+ telematics integrations with a live provider behind them. VanVed's own webhook can accept a GPS position from a provider, but ships no provider of its own, so most tenants will still see nothing on the map. Work orders/parts inventory and driver inspections remain unbuilt.
We publish this because a comparison that only flatters us is worth nothing to you. If one of these gaps is the thing you actually need, Fleetio may well be the better buy.
